Description

Summary/Objective

Provide administration/clerical/secretarial support such as timekeeping, filing, records management, travel order and travel voucher preparation, reviews and typing of routine of correspondence, answering telephone calls, assisting visitors, scheduling, and accepting appointments.

 

Job Duties

  1. Answering phones;

  2. Grant access (reception);

  3. Set up meetings and requisite equipment (e.g. VTC);

  4. Appointment scheduling;

  5. Provide readily available information to callers/note taking/edit or format memos, presentations, etc. (does not include generating original content);

  6. Generation of routine reports;

  7. Operation as the office point of contact;

  8. Correspondence Applications (e.g. CATMS);

  9. Locking and unlocking of safes and office space;

  10. Process Mail;

  11. Arrange travel;

  12. Order Supplies;

  13. Prepare forms (e.g. standard form preparation/data entry/inventory/maintenance issue reporting/record retention/courier);

  14. Assemble brief packages;

  15. Prepare expense reports;

  16. Various other duties involving clerical and administrative office functions.

Supervisory Responsibility

This position has no supervisory responsibilities.

 

 

Work Environment

This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

 

Physical Demands

This is largely a sedentary role that does require some standing, walking and filing. Filing would require the ability to lift files, open filing cabinets, and ability to bend or stand as necessary.

 

Expected Hours of Work

Reports Monday – Friday.

 

Work Authorization/Security Clearance (if applicable)

Must be a US Citizen and possess a Secret Clearance.
